Whova Integration Guide
Overview
This guide explains how to connect Bridged with Whova to read event content including attendee data, agenda/session information, exhibitor details, and speaker profiles. The integration supports reading this data for activation, qualification, and nurture playbooks where event context is needed.
Whova is an all-in-one event management solution that features an agenda builder where organizers manage sessions and speaker profiles easily. Attendees receive real-time updates and push notifications for upcoming sessions .
Primary Use Case: Read Event Content
For Bridged's event experience integrations, the primary use case is reading event-related data, including:
Data Type | Use in Bridged |
|---|---|
Attendee data | Personalize outreach and qualification conversations |
Agenda/Session data | Answer attendee questions about schedules and session details |
Speaker profiles | Provide speaker bios and session information |
Exhibitor information | Support exhibitor-related queries |
⚠️ Integration Note
Whova does not offer a direct REST API for programmatic data extraction. The primary method for integrating with Whova is via Zapier (a third-party automation platform) . This means Bridged can receive event data from Whova through webhooks triggered by Zapier.
Connection Methods
Method | Best for | Setup complexity |
|---|---|---|
Zapier Webhooks (Primary) | Real-time event data sync | Medium |
Manual Export (CSV) | One-time or backup data pulls | Low |
Recommendation: Use Zapier webhooks for automated syncs. Whova supports various Zapier triggers including "New Attendee," "New Order," and "New Event" .
Step 1: Set Up Zapier Connection
Create a Zapier account (free tier available for basic automations)
In Zapier, search for Whova as the trigger app
Select a trigger event:
Trigger | Description |
|---|---|
New Attendee | Triggers when a new attendee registers |
New Order | Triggers when a new order is placed |
New Event | Triggers when a new event is created |
Connect your Whova account to Zapier (follow Zapier's authentication prompts)
Set the action to Webhook pointing to Bridged endpoint:
URL:
https://gateway.bridged.media/webhooks/whova
Map Whova fields to the webhook payload
Test and publish your Zap
Step 2: Configure Bridged to Receive Webhooks
Log in to your Bridged dashboard
Navigate to the Integrations section. If you do not see this section, contact
support@bridged.mediaClick Whova → Connect Account
Select Webhook as your connection method
Copy your unique webhook URL from Bridged
Paste this URL into your Zapier webhook action configuration
Step 3: Alternative - Manual CSV Export
If automated sync is not required:
Log in to your Whova Event Management Console
Navigate to Attendees or Registration section
Export attendee data as CSV
Navigate to Agenda section to export session/speaker data
Upload CSV files to Bridged via dashboard
Bulk sync limit: Each bulk operation is limited to 50 records per request.
Step 4: Configure Sync Settings
Setting | Options | Description |
|---|---|---|
Data objects | Attendees, Agenda, Speakers, Exhibitors | Which event data to read |
Sync frequency | Real-time (webhooks), Daily, Weekly | How often to refresh data |
Sync method | Zapier Webhooks, Manual CSV | Preferred data access method |
Common Use Cases
Playbook | How Event Data Is Used |
|---|---|
Activation | Read attendee list to trigger pre-event reminders and session alerts via WhatsApp |
Qualification Agent | Read attendee registration data and session attendance for lead scoring |
Nurture & Conversion | Read session and speaker information for post-event follow-up conversations |
Example Conversation Powered by Whova Data
When an attendee asks "What sessions are tomorrow?", Bridged:
Reads agenda data from Whova (via webhook-stored data or CSV import)
Filters sessions by date
Returns schedule information conversationally
Security & Permissions
Whova connects via Zapier's authenticated integration
Webhook payloads should be validated for authenticity
All API calls should be made over TLS 1.2+
Zapier offers enterprise-grade security compliance
Troubleshooting
Issue | Likely cause | Solution |
|---|---|---|
No data received | Zap not published | Test and publish Zap in Zapier |
Webhook fails | Incorrect URL | Verify webhook URL in Zapier action |
Missing fields | Field mapping incomplete | Check field mapping in Zapier |
Duplicate data | Multiple Zaps active | Disable duplicate Zaps |
Manual export missing data | Wrong export section | Export from Attendees and Agenda sections separately |
